We are currently looking for a highly organized and detail-oriented professional to join our dynamic team in Birżebbuġa, Malta. The successful candidate will take the lead in securing the best goods and services — both for our own operations and for our valued clients. This role is at the heart of our supply chain, combining strategic sourcing, vendor management, and cross-department collaboration to deliver cost-effective and timely solutions.
Your Challenge:
- Source & Secure: Lead the procurement of goods and services in line with company and client needs, following established procedures.
- Understand Needs: Liaise with internal teams and clients to fully understand requirements and priorities.
- Drive Competitive Pricing: Request and review quotations, negotiate with vendors, and ensure savings and sales targets are met.
- Check Compliance: Review technical and HSE requirements to ensure all purchases meet safety and quality standards.
- Coordinate Logistics: Work with the shipping department to manage shipment requirements and obtain competitive freight costs.
- Deliver Accurate Quotes: Issue official client quotations per contract and prepare cost comparisons for internal requests.
- Track & Follow Up: Monitor pending approvals, chase necessary documentation, and follow orders from placement to delivery at base.
- Complete Documentation: Prepare all required paperwork for client orders, maintain accurate records, and hand over financial documents promptly to Finance.
- Build Relationships: Develop strong, professional connections with vendors, clients, and internal stakeholders.
- Support the Team: Provide training and assistance to colleagues, share expertise, and contribute to a collaborative work environment.
- Improve Processes: Assist the Head of Department in reviewing and enhancing procurement processes, providing constructive feedback and support on special tasks.
What We’re Looking For
Experience & Education
- Minimum 1 year of experience in procurement or a related field.
- EQF Level 4 qualification in a business-related subject.
- Fluent English (written & spoken); understanding Maltese is an asset.
- Proficient in Microsoft Office, especially Excel.
Essential Skills & Attributes
- Holder of a valid and clean driving license, category B and have own means of transport due to office accessibility.
- Holder of a valid work permit issued by respective Maltese authorities.
- Willingness to work flexible hours, including weekends and public holidays when required.
- Ability to work under pressure and meet tight deadlines.
- Strong time management and multitasking abilities with minimal supervision.
- A collaborative team player with a strong ethical character.
- Excellent interpersonal skills, with the ability to liaise effectively with internal teams and clients.
- A flexible and reliable approach to work in a dynamic environment.
